Job Description

As the Associate Director of Operations and Project Management (ADOPM), you will play a key role in CEN’s infrastructure, leading the operational rhythm of the team and working closely with leadership to oversee organizational systems and ensure appropriate prioritization, management, and support for programs and ongoing development. You will manage organizational priorities as well as staff operations. This position is full-time (40 hours/week) and includes flexible hours, benefits, and lots of growth potential. You will need to be in the physical office in Redwood City, CA no fewer than three days a week. The starting salary range is $70K-$85K annually.

The Associate Director of Operations & Project Management Duties Include:
Operations Management
Programs & Events
Client Relations, Database, & Reporting
Accounting
- Lead in systems creation/strategy and project management throughout the organization
- Annually develop organization-wide operations calendar and management of staff and leadership in executing calendar throughout the fiscal year
- Ensure the organization’s operational systems are working in an effective manner and partner with key staff to improve those systems when issues come up
- Oversee project management software system (ClickUp) and support staff in maintaining usage of the system
- Ensure that all staff maintain and follow Standard Operating Procedures (SOPs) as programs and systems evolve, updating them continuously
- Serve as point of contact for vendors, in-person and online, and troubleshoot challenges that arise in the physical office space
Programs & Events
- Serve in a general management capacity for programs and global calendaring
- Drive and manage the operational cadence of the CEN calendar(s) with high level of accuracy and limited consultation while overseeing CEN program scheduling and logistics
- Oversee and/or perform duties associated with project planning/execution, project analysis, event planning, logistics, and preparation including delivering top-notch customer service by phone, email, and in person as well as program outreach and registration management
- Compose and draft documents and correspondence for presentations and course handouts; perform substantial editing and fact checking when needed
- Participate in CEN’s three annually-recurring special events which take place outside of regular business hours
- Supervise assistive position(s) such as Programs & Projects Manager in order to oversee programs communications/materials and client/member relations
Client Relations, Database, & Reporting
- Deliver and manage staff in providing excellent customer service across all facets of the organization (ex. clients, donors, community partners) via phone and email
- Oversee the maintenance of clean contact, donor, and membership records to support effective communications and data analysis
- Manage database and website, with content support and guidance from leadership
- Create complex reports and spreadsheets which may utilize specialized software and systems
- Manage virtual and in-office vendor accounts
Accounting
- Collaborate with CEN’s outside accounting firm to execute monthly accounting deliverables
- Process accounts receivable/invoicing and accounts payable using Quickbooks Online and Bill.com
- Track all incoming payments/donations (online and mail deposits) and share information and backup materials with accounting firm and relevant staff
- Track monthly usage of all program discounts, grant-funded memberships/registrations, and no-cost services for grant reporting and annual impact reporting
Skills and Qualifications:
- At least four years of nonprofit experience (including roles in operations, program management, or equivalent)
- Demonstrated commitment to and understanding of IDEAL practices
- Supervisory experience
- Strong communication skills and cultural responsiveness with the ability to work with a wide variety of backgrounds and personalities at all levels within an organization
- Enjoys an environment that supports a teamwork-focused approach and is able to contribute and be flexible
- Strong attention to detail and advanced/high proficiency with Windows & Microsoft Office Suite
- Ability to quickly learn, understand, and implement complex digital systems and software
- Demonstrated ability to work independently and to prioritize and follow through on multiple tasks/projects
Preferred Skills Include:
- Deep passion for, and knowledge of, leadership development
- Ability to build/maintain relationships w/vendors, corporations, and partners
- Website design and systems management experience
- Graphic design skills with an ability to create aesthetically pleasing program and event materials and reports
- Solid storytelling ability that contributes to create an engaging, data-driven narrative that appeals to stakeholders
